What's inside
The Caravan Rental Agreement is a one-page hire form for a holiday caravan. It measures 210 x 297 mm (A4) and arrives as a print-ready PDF. A second PDF holds a Canva edit link. The form is written as a short-stay hire between an "Owner" and a "Renter". There is no tenancy, lease or licence-to-occupy wording on the page.
The left column has four numbered sections:
- 1 Renter Information. Full name, phone, email and a two-line address.
- 2 Rental Details. Caravan model, pick-up date and time, return date and time, pick-up location and return location.
- 3 Rental Terms. Seven short bullet points.
- 4 Signatures. A confirmation statement, plus signature and date lines for renter and owner.
The right column has three olive-green boxes and a contact card:
- Payment Details. Lines for Rental Rate, Security Deposit, Cleaning Fee and Other, each with a printed £ sign, and a Total Due line.
- Payment Method. Tick boxes for Credit Card, Bank Transfer and Other.
- Important Notes. Four ruled lines, the only free-text space on the form.
- Thank You card. A farewell line ("We hope you enjoy your stay") with sample phone, email and website lines to replace in Canva.
The seven rental terms are brief. Use the caravan responsibly and lawfully. Return it in the same condition as at pick-up, normal wear and tear excepted. No smoking inside. No pets unless pre-approved in writing. Late returns may incur additional charges, with no rate given. The renter is "responsible for any damage, loss, or theft during the rental period", with no exceptions written in. Full guidelines are in a "Caravan Handbook provided at pick-up". That handbook is not part of this product.
A printed disclaimer footer runs along the bottom of the page. It says the template is a generic one from NanaKwanDesign, is not legal or tax advice, and suggests checking with a certified UK solicitor or accountant. The footer is part of the printed design.
There are around 30 blanks. The sample branding ("WOOD.COAST Caravan Escapes", a tagline and a US-style placeholder phone number) is there to be replaced with yours.
Who it's for
This template suits people who hire out a holiday caravan for short stays and want a signed record of the booking:
- owners of a static caravan on a holiday park who let it to guests
- owners of a touring caravan who hire it out for a trip
- hosts listing a caravan on Airbnb, VRBO or similar sites who want a paper form at handover
It is not written for anyone who will live in the caravan. There is no notice period, no occupancy or rent-review wording, and nothing about a pitch or site. It is not a form for a park operator granting a pitch. It is also caravan-specific: the fields ask for a caravan model and pick-up and return locations, so it does not fit a flat or a house. Other templates, such as the England Tenancy Agreement, are written for other situations.
How to fill it in
The PDF has no fillable form fields, so there are no boxes to click and type in. There are three ways to complete it:
- Edit in Canva first. Open the edit link in the second PDF. Swap "WOOD.COAST" and the tagline for your own name and logo, replace the sample phone, email and website, and change any wording. Then download your own copy.
- Print and write. Print the A4 page and complete the blanks by hand at pick-up.
- Annotate in a PDF app. Add text over the blanks, then print or send.
The form has no cancellation, refund, no-show, insurance, towing or mileage wording, and no rate for late returns. Important Notes, or the Canva design, is where points like these can be added. At handover, the renter's details, caravan model, dates, times, locations and payment lines are filled in and the payment method ticked. Both parties sign and date, and each keeps a copy.
Before you use it: the legal context
This is a template, not legal advice, and NanaKwanDesign is a design shop, not a law firm. The notes below say where the relevant rules are written, not how they apply to you. They cover England, Wales and Scotland only.
Hire of goods. The Consumer Rights Act 2015 describes a contract for the hire of goods in section 6. It applies where a trader gives a consumer possession of goods to use for a set period. Trader and consumer are defined in section 2. Whether those definitions are met depends on the facts.
Fairness of terms. Under section 62, an unfair term is not binding on the consumer. A term is unfair if, contrary to good faith, it causes a significant imbalance to the consumer's detriment. Schedule 2 lists terms that may be regarded as unfair. They include a disproportionately high sum for a consumer's breach and terms the consumer had no real chance to read before contracting. They also include a term letting the trader decide the price after the consumer is bound, where no price or way of working it out was agreed. On this form, the damage term has no exceptions, the late-return term gives no rate, and one term points to a handbook given at pick-up; the Schedule 2 examples above deal with terms of these kinds. Whether a term is unfair is decided case by case. Section 65 says a trader cannot exclude liability for death or personal injury caused by negligence. Section 68 requires written terms to be plain, intelligible and legible.
No statutory cooling-off period. The 14-day cancellation right in the Consumer Contracts Regulations 2013 does not apply to accommodation, vehicle rental or leisure contracts for a specific date or period (regulation 28(1)(h)).
The deposit line is only a line. Security Deposit appears as a £ amount. There is no wording on when it is returned or what may be deducted.
It is not written as a tenancy. This is a short-stay hire form, not a tenancy, occupation contract, private residential tenancy or pitch agreement.
Caravans and towing. The legal definition of a caravan is in the Caravan Sites and Control of Development Act 1960, section 29. It covers a structure designed for human habitation that can be moved by towing or on a vehicle, and a motor vehicle so designed. For touring hires, GOV.UK's towing page gives the licence limits. Drivers who passed their car test on or after 1 January 1997 can tow a trailer of up to 3,500 kg MAM. The form has no driver-eligibility or insurance clause.
Questions people ask
Is this a tenancy agreement?
No. It is a short-stay hire form between an owner and a renter for a holiday caravan, with pick-up and return dates. It has no notice period, rent review, occupancy or pitch wording, and it is not written for a caravan that someone lives in. The Caravan Rental Agreement from NanaKwanDesign is for holiday hire only.
Can I type into the PDF?
Not into form fields: there are none. You can print the A4 page and write by hand, add text boxes over the blanks in a PDF app, or edit the text in Canva using the included link.
Does it include cancellation or refund terms?
No. The seven rental terms cover responsible use, condition on return, smoking, pets, late returns, damage and a reference to a handbook. There is no cancellation, refund or no-show clause. A booking for fixed dates has no statutory 14-day cooling-off right under the Consumer Contracts Regulations 2013 (regulation 28), so any cancellation policy is one the owner writes in, for example in the Important Notes box.
Does it deal with the security deposit?
Only as a payment line. There is a "Security Deposit: £" blank in the Payment Details box, but no wording on when the deposit is returned, what can be deducted or by when.
Is the Caravan Handbook included?
No. One rental term refers to a "Caravan Handbook provided at pick-up", but no handbook comes with this product. You write your own, or delete that line in Canva.
Can I use it for a touring caravan?
Yes, in the sense that the form asks for a caravan model, pick-up and return locations and times, so a towed caravan fits the fields as well as a static one. It has no clause on driver licence, towing limits, insurance, breakdown or mileage; Important Notes has space for extra points. The towing limits by licence date are on GOV.UK.
Which country is it designed for?
It is designed for UK use: £ signs are printed on the payment lines. The footer disclaimer says the form is not legal advice and suggests checking with a UK solicitor. The body of the agreement names no governing law. The legal notes on this page cover England, Wales and Scotland; Northern Ireland and other countries were not checked.
