Everything in the Studio Rental Agreement, explained

Written from the document itself · updated 13 September 2026

What's inside

The Studio Rental Agreement is a single-page booking form for hiring out a studio space by the hour or by the day. The subtitle reads "England, Wales & Scotland", and it is styled for a photography or creative studio, with a London skyline photograph.

The sheet is a grid of boxed sections:

  • Studio details. Name, address, postcode and the facilities included.
  • Owner / manager details. Name, business name (if applicable), email, phone and address.
  • Renter details. Full name or company name, email, phone, address and the purpose of hire.
  • Booking information. Date(s) of hire, start and end time, total hours, number of people and additional requirements.
  • Rental fees. Hourly or daily rate, total rental fee, deposit (if applicable) and total amount due, in £.
  • Payment information. Payment due date, tick boxes for bank transfer, card or other, and a notes line.
  • Terms & conditions. Eight short numbered clauses.
  • Agreed & accepted. Signature blocks (name, signature, date) for the owner/manager and the renter.

The eight clauses in summary: stated purpose only; hirer responsible for damage; studio left as found and cleaned; reasonable noise within local regulations; studio rules followed; cancellations in writing, deposits non-refundable unless agreed otherwise; owner may cancel in circumstances beyond their control; governed by the law of England and Wales or Scotland, as applicable.

The form does not say whether the deposit or fee is returned when the owner cancels under clause 7, and "circumstances beyond our control" is not defined. Clause 2 has no exception for fair wear and tear.

There is no clause on injury or public liability, limits of liability, insurance, health and safety, late payment, a cancellation notice period, equipment hire charges or data protection, and no inventory or witness section. A pink-bordered footer states that the document is a generic template for informational and educational purposes only.

Who it's for

For anyone who lets a creative space out for short sessions:

  • Photography studio owners and managers taking hourly or daily bookings.
  • Content creators who rent out a set, a backdrop wall or a filming room.
  • Podcast, dance, art or rehearsal studios that hire by the session.
  • Freelancers who book those spaces and want the terms in writing.

It is a hire form, not a tenancy. For a room, a whole flat or a holiday property, look instead at the Room Rental Agreement, the Residential Rental Agreement, the England Tenancy Agreement or the Short-Term Rental Agreement. Everything else is on the templates page.

Two limits. The document covers England, Wales and Scotland only, and it has no Scotland-specific wording.

How to fill it in

You receive one file, Studio_rental_agreement.pdf: a single page measuring 279 x 394 mm, neither A4 nor US Letter. The page has the same proportions as A4, so it prints on A4 using the printer's "fit to page" setting. The PDF has no interactive form fields and no Canva link is included, which leaves two ways to complete it:

  1. Print it and write on it. Every field is a blank ruled line apart from three tick boxes for the payment method, so a pen works fine.
  2. Open it in a PDF app on a tablet or computer and annotate it, adding text and signatures over the lines.

Both parties print their name, sign and date in the signature panel; no witness is asked for. The licence page explains what you may do with the file.

Before you use it: the legal context

This is a template, not legal advice. What follows says where the relevant rules are written, not what to do.

Tenancy law. An assured tenancy under section 1 of the Housing Act 1988 requires a dwelling-house let as a separate dwelling and occupied as someone's only or principal home. The Welsh and Scottish definitions turn on the same idea (Wales; Scotland). The Renters' Rights Act 2025 provisions that came into force in England on 1 May 2026 (commencement regulations) concern residential lettings, the assured-tenancy regime and related private-rented-sector rules. In England, tenancy-deposit protection under section 213 of the Housing Act 2004 applies to deposits paid in connection with assured tenancies. A studio booking deposit is not one of those.

Consumer law. The Consumer Rights Act 2015 defines a consumer as an individual acting wholly or mainly outside their trade, business, craft or profession (section 2). Part 2 of that Act applies to contracts between a trader and a consumer, across England, Wales and Scotland (section 99). Under section 62, an unfair term is not binding on the consumer. Schedule 2 lists terms that may be regarded as unfair. Paragraph 4 covers a trader keeping sums paid when the consumer cancels, without equivalent compensation when the trader cancels. Clause 6 (deposits non-refundable) and clause 7 (owner cancellation) deal with the subject of paragraph 4 of Schedule 2. Paragraph 6 covers terms requiring a consumer in breach to pay a disproportionately high sum in compensation; clause 2 makes the hirer responsible for any damage and names no sum. When the hirer is a business, the Unfair Contract Terms Act 1977 governs exclusion clauses instead (section 16 for Scotland).

Injury liability. Section 65 of the Consumer Rights Act 2015 bars a trader from excluding liability for death or personal injury caused by negligence, and the 1977 Act does the same for business hirers. An occupier owes visitors a duty of reasonable care under the Occupiers' Liability Act 1957 in England and Wales and the Occupiers' Liability (Scotland) Act 1960 in Scotland. The template has no clause on injury liability or insurance. Clause 4's "local regulations" have a backdrop in section 79(1)(g) of the Environmental Protection Act 1990, which makes noise that is prejudicial to health or a nuisance a statutory nuisance.

Questions people ask

Is the Studio Rental Agreement a tenancy or a lease?

No. It is a one-page hire and booking form for a studio let by the hour or by the day, with no tenancy, lease or licence-to-occupy wording. An hourly or daily hire does not meet the definitions of an assured tenancy in England, an occupation contract in Wales or a private residential tenancy in Scotland.

Does the Studio Rental Agreement cover Northern Ireland?

No. The subtitle names England, Wales and Scotland only; Northern Ireland is not mentioned on the form.

Can I type into the Studio Rental Agreement PDF?

The PDF has no interactive form fields and no Canva link is included. Print it and fill it in by hand, or open it in a PDF app and add text and signatures as annotations.

Is the deposit in the Studio Rental Agreement non-refundable?

Clause 6 says deposits are non-refundable unless agreed otherwise. The form does not say whether the deposit or fee is returned when the owner cancels under clause 7. The Consumer Rights Act 2015 defines a consumer as an individual acting wholly or mainly outside their trade, business, craft or profession (section 2). Part 2 of that Act applies to contracts between a trader and a consumer. Paragraph 4 of Schedule 2 lists a term letting a trader keep sums paid when the consumer cancels, without equivalent compensation when the trader cancels, as one that may be regarded as unfair. Under section 62, an unfair term is not binding on the consumer. The clause can be adapted.

What is missing from the terms and conditions?

The eight clauses cover purpose of hire, damage, cleaning, noise, studio rules, cancellation and deposits, owner cancellation and governing law. There is no clause on injury or public liability, limits of liability, insurance, health and safety, late payment, a cancellation notice period, equipment hire charges or data protection, and no inventory or witness section. Anything from that list has to be added by the parties.

Which law governs the Studio Rental Agreement?

Clause 8 states that the agreement is governed by the laws of England and Wales or Scotland, as applicable. The form does not say which of the two applies to a particular hire, and it has no box to record it. The Consumer Rights Act 2015 applies in England, Wales and Scotland (section 99).
