What's inside
This is a five-page residential rental agreement template for a long let between a landlord and one or two tenants. The wording is fixed; the blanks are lines and tick-boxes.
- Page 1: the parties, then clauses 1 to 4: rental property, term of tenancy (start and end dates, Fixed Term or Periodic Tenancy), rent and security deposit. A disclaimer box sits at the foot.
- Page 2: clauses 5 to 9: utilities, occupancy, maintenance, alterations and pets.
- Page 3: clauses 10 to 17: use of property, inspections, repairs and damage, insurance, default, termination, governing law and entire agreement.
- Page 4: clause 18, an inventory and property-condition schedule with keys, meter readings, furniture, existing damage, alarm tests and photographs.
- Page 5: name, signature and date boxes for the landlord, one or two tenants and an optional witness.
Pages 2 to 4 have tenant and landlord initials boxes in the footer; on page 1 that row is hidden behind the disclaimer box.
You receive one file, Residential_rental_agreement_5_pages_PDF.pdf, with pages of 216 x 279 mm (US Letter size). The PDF has no interactive form fields, and no Canva edit link is included.
Who it's for
The template is laid out for a landlord letting a whole house or flat on a long let, with space to record the basics and the property's condition on day one.
The clauses name no country and no statutory tenancy type, though the page-1 disclaimer mentions HMRC and a UK solicitor.
It is not written for lodgers, holiday or short lets, or caravan hire; the shop has a room rental agreement, a short-term rental agreement and a caravan rental agreement for those. In England, Wales and Scotland it is not the written terms each nation's tenancy law sets out, and its clauses (including a fixed-term option and an entire-agreement clause) have not been matched to those terms.
How to fill it in
- Print it and write by hand. On A4 paper, "fit to page" in the print settings scales the pages down slightly.
- Or type over the blanks in a PDF app that can annotate, such as Preview or Acrobat Reader.
- On page 1, fill in the date, parties, property, term, rent (marking $, £ or €) and deposit amount.
- On page 2, tick the bills the tenant pays, list the occupants and complete the pets section.
- At move-in, complete the page-4 inventory: record the three meter readings, then tick Yes or No for Smoke Alarm Tested, Carbon Monoxide Alarm Tested and Photographs Attached.
- Initial the footers of pages 2 to 4 (the page-1 initials row is covered by the disclaimer), then sign and date page 5.
Before you use it: the legal context
This is a design template, not legal advice, and NanaKwanDesign is not a law firm. Clause 16 applies the law where the property is located, and clauses 3, 4, 11, 14 and 15 defer to "applicable law".
England. Since 1 May 2026, under the Renters' Rights Act 2025, new private tenancies that qualify as assured are assured periodic tenancies. The GOV.UK landlord overview states that a tenancy agreement cannot have an end date, so the Fixed Term box and end-date line do not describe an English assured tenancy. Since 1 May 2026 a landlord cannot evict using the section 21 process and needs a legal ground for possession (GOV.UK). Before the tenancy is entered into, a landlord gives the tenant a written statement of prescribed terms; the 2026 regulations list 18 items, including gas and electrical safety statements, and this template does not contain those statements. Section 11 of the Act adds to the Housing Act 1988 an implied term that consent to a pet is not to be unreasonably refused, which the "Pets Not Allowed" tick-box does not reflect. A deposit in England and Wales goes into one of three approved schemes within 30 days, with prescribed information given to the tenant. The Landlord and Tenant Act 1985 implies a right to enter to view condition and repair at reasonable times of day on 24 hours' written notice, where the landlord's statutory repairing covenant applies.
Wales. Since 1 December 2022 most renters in Wales have an occupation contract; holiday lets and lettings where the occupier shares accommodation with a resident landlord are among the exceptions. The landlord gives a written statement within 14 days of moving in. The model is not compulsory, but the fundamental and supplementary terms are, and this template has neither. Under a periodic standard contract a landlord's no-fault notice carries a minimum of six months and cannot be given in the first six months.
Scotland. A private residential tenancy has no end date and ends only under Part 5 of the 2016 Act. Statutory terms apply to every one. Where the terms are not already in writing, the landlord provides a document setting them all out by the end of the day the tenancy starts (section 10). The Scottish Government model has mandatory clauses and supporting notes. The statutory terms require the tenant to allow reasonable access for an authorised purpose on at least 48 hours' notice. A deposit goes into one of three Scottish schemes within 30 working days. This template is not a private residential tenancy agreement.
Elsewhere. Northern Ireland and countries outside the UK have not been checked. The $ and € symbols are a printing choice, not a sign the wording suits any other country.
Questions people ask
Is this a fillable PDF?
No. It has no interactive form fields. You print it and write by hand, or annotate it in a PDF app. No Canva edit link is included.
What paper size is it and how many pages?
Five pages of 216 x 279 mm, which is US Letter size. It prints on A4, scaled down slightly with "fit to page".
Can I use it for a tenancy in England?
It is not the written statement of terms English law sets out. Since 1 May 2026 English assured tenancies have no end date, and the landlord gives a written statement of prescribed terms before the tenancy is entered into. This template has a fixed-term option, a pets-not-allowed tick-box and an entire-agreement clause (clause 17), and lacks those statements.
Does it cover the security deposit?
Clause 4 has a blank for the amount and one sentence deferring to applicable tenancy law. It names no protection scheme or deadline; the legal context section above sets out those rules.
Does it work in Wales or Scotland?
Not as the tenancy document itself. In Wales most renters have an occupation contract with fundamental and supplementary terms, set out in a written statement within 14 days. In Scotland a private residential tenancy carries statutory terms. This template contains neither set of terms.
Is it suitable for a lodger, a holiday let or Airbnb?
No. Holiday lets generally fall outside all three regimes. A letting where the tenant shares accommodation with a resident landlord is not an assured tenancy in England, not an occupation contract in Wales unless the landlord gives notice, and not a private residential tenancy in Scotland. In England and Scotland some landlords who live elsewhere in the same building are also excluded. The shop has separate room, short-term and caravan templates.
Is this legal advice?
No. It is a generic template sold by NanaKwanDesign, a design shop and not a law firm; the page-1 disclaimer says the same. The rules on this page are summarised from GOV.UK, GOV.WALES, mygov.scot, gov.scot and legislation.gov.uk. The licence terms are on the shop's licence page.
